How McCready Law delivers its best intake experience on every call

The challenge: growth while improving the client experience

McCready Law is a single-event personal injury firm with 14 offices across seven states, founded and led by managing partner Michael McCready. It has roughly tripled in size over four years and now handles about 2,000 leads a month.

McCready takes great pride in delivering an exceptional client experience - starting with intake. The challenge was holding that standard as lead volume climbed, when hiring alone couldn't keep pace and every missed or slow response risked a client.

"If you're not responding to a lead immediately, the way society operates these days is they're on to the next law firm."

The approach: prove AI could perform as good as their current team

McCready has always adopted technology early, so Michael was open to AI for intake. He wanted a partner that would build around how McCready already runs intake, and found one in Superpanel. Together, they designed an AI agent that would:

  • Reach out to web form leads, while handling all inbound referral traffic, managing the handoff between the AI agent and human agents seamlessly

  • Follow McCready's call-routing rules, from sending calls to the right team to taking only a set share of overflow calls at certain times,

  • Qualify each lead against McCready's specific questions and criteria

  • Warm transfer qualified callers to a McCready team member to close, and stay with the client when a team isn't available so they always know what happens next

  • Work across McCready's internal tools the way a team member would, even tools with limited or no APIs

“We didn't have to change how we run intake. Superpanel learned our qualification questions, our routing rules, and the tools we work in every day, and built the AI agent around them. Even with tools that don't have great APIs, it works across them the way one of our intakers would."

Michael was eager to see it in practice, but not at the expense of the client experience. His stance was firm: no go-live until the AI agent proved it could perform as well as his team.

So the firm put it to the test: a 50/50 split on a cohort of inbound calls, half to Superpanel and half to the intake team, with every lead tracked to the same outcome in McCready's CRM: a signed retainer.

The result: 18% higher conversion with AI Intake

Over seven months and more than 10,000 leads, cases handled with Superpanel signed at an 18% higher rate than cases handled by the intake team alone.

"We were impressed when we first saw the numbers. But when we sat down and thought about it, it made sense. Every call gets answered, and we follow up far more consistently than we could in the past, on whichever channel works best for each client."

How McCready delivered a better client experience with AI Intake

What McCready was able to achieve with Superpanel came from giving every potential client the attention its best people would give, at any hour and on any channel, at scale.

  • Always available. Every inquiry gets a response right away, nights and weekends included. In September, 1 in 3 of McCready’s qualified leads came in outside business hours, and the typical caller was qualified within 12 minutes of first reaching out.

  • On the channels clients prefer. Clients can reach McCready by phone or text, and it all feels like one continuous conversation. Among leads that needed follow-up, more than half of all touches were by text, and about half of those leads replied by text.

  • Persistent follow-up. McCready stays in touch until the client is ready to talk, with Superpanel handling the follow-up, so no one feels forgotten. Leads not resolved on the first call received about 8 follow-ups on average, by call and text, all within the client’s preferred contact hours.

When a client is ready to sign, or asks for a person, they're warmly transferred to McCready's team with the full context of the conversation.

Scaling with confidence

As the results held up, McCready expanded the program from 14% of inbound calls in March to 80% by August, while continuing to add referral firms and lead sources. Conversion held the whole way. With Superpanel covering overflow, after-hours calls, and follow-up, McCready has, in Michael's words, "essentially eliminated missed calls and missed potential leads." For the intake team, that meant relief, not replacement.

"When [the intake team] realized that AI was not going to replace them, it was going to improve the customer experience, then they were very enthusiastic about it."

Advice for managing partners considering AI intake

  1. Measure it against your own team. Track both to the same outcome: a signed case.

  2. Start where the gaps are. Go live where calls get missed, like after hours, and expand as results hold.

  3. People are ready for AI. Don't wait. In Michael's words: "If you just ignore it or pretend that it's not going to become commonplace, I think that's at your peril."

"I was pleasantly surprised at how accepting people were of this technology already."
